HR administration: onboarding, sickness and contract changes by an AI coworker

HR work is people work, but around it sits a stack of administrative tasks that crowds out the important pieces. An AI coworker takes over onboarding mutations, sickness registration and contract changes.

Most HR work isn't HR work

Ask an HR team where the working week goes and the top three is surprisingly consistent: processing mutations for new hires, routing sickness notifications to the right parties, and administering contract changes. It's essential work, but it's almost never what HR people were hired for.

The conversations with people, the appraisal, the sickness check-in, the strategic workforce planning: that's work you want a human doing. The administration around it sits outside that profile and costs more time than most HR professionals admit.

Onboarding without the fifteen systems

A new hire touches around fifteen systems in their first week: HR suite, email, identity provider, payroll, pension, lease, laptop, access pass, learning platform. The AI coworker reads the signed contract, validates IBAN, Chamber of Commerce for contractors and BSN format, and stages the mutations in AFAS, Exact or Visma. In parallel the accounts in Azure AD, the mailbox and the pension portal get prepared, ready for activation on day one.

Sickness: report, UWV, occupational health, payroll

A sickness notification typically lands in four systems and needs to reach UWV on the right day (first, fourth, eighth week, 42 weeks). The AI coworker receives the notification via app, phone forwarding line or email, registers it in the HR suite, notifies the occupational health service and queues the UWV deadlines. By the first check-in, the case manager has the full file in front of them.

What the AI watches on sickness flows by default:

  • Wet Verbetering Poortwachter deadlines: first day, problem analysis, action plan, first-year evaluation.
  • UWV notifications on time, with the right wage data.
  • Synchronisation with payroll (NS NSV, IVA, WIA) and wage subsidies.
  • Reintegration files complete and up to date.
  • Privacy: only functionally necessary data to occupational health, no diagnoses.

Contract changes that no longer cost time

Renewals, hour changes, role changes, salary steps: in mid-market organisations these are five to fifteen mutations per week. The AI coworker drafts the addendum from your standard template, fills in details from the HR suite, checks against collective agreement scales, and prepares it for digital signature. The HR manager approves or adjusts, the employee signs, the system is up to date.

What's left for the HR team

The strategic work: workforce planning, leadership development, the conversation with the person considering leaving.
