1. Who we are

AgentsLab B.V. ("AgentsLab", "we", "us") builds AI coworkers for back-office processes. We are the data controller for the personal data collected through this website.

2. What data we collect

We only collect data that is needed for the purpose you provide it for, or that we need for technical reasons.

Contact form and email

When you submit our contact form or email us directly, we process: your name, organization, email address, optional phone number, type of request, preferred meeting times, location preference, and the contents of your message.

Server logs

Our hosting provider (Vercel) records technical data such as IP address, user agent, requested URL, timestamp and HTTP status code. These logs are used for security, debugging and uptime.

Web analytics

We use Vercel Analytics to measure aggregated visitor counts and page performance. Vercel Analytics is cookieless and does not store a unique identifier on your device. No cross-site profiles are built.

3. Why we process this data

• Answering your question, calling you back or scheduling a meeting.
• Preparing and following up on an intro call or demo.
• Securing our website and preventing abuse (such as spam and automated attacks).
• Improving the function and content of our website based on aggregated, non-identifying statistics.
• Complying with legal obligations.

4. Legal basis for processing

We only process personal data on one of the lawful bases set out in Article 6 GDPR:

• Performance of a contract or pre-contractual steps: when you contact us for a quote, demo or intro meeting.
• Legitimate interest: for site security, abuse prevention and measuring website performance through cookieless analytics.
• Legal obligation: for example, administrative and tax requirements.

5. How long we retain data

• Contact requests by email: up to 24 months after the last contact moment, unless we enter into a business relationship and a longer retention period is required.
• Server and security logs: up to 30 days, after which they are anonymized or deleted.
• Aggregated analytics: not traceable to individuals and retained indefinitely.
• Administrative records: as long as legally required (typically seven years in the Netherlands).

6. Who we share data with

We do not sell personal data. We only use service providers that we need to deliver our services and that meet our security and privacy requirements. We have a data processing agreement in place with each of these parties.

• Vercel Inc.(hosting of this website and cookieless analytics). Processing takes place inside the EU via Vercel's Frankfurt region.
• Resend, Inc. (transactional email delivery for the contact form). When you submit the contact form, your form data is forwarded to us through Resend. Our Resend environment runs in the EU region (Ireland, eu-west-1).
• Our email provider for receiving and storing inbound correspondence at info@agentslab.eu.

A current list of sub-processors for our platform is shared on request when entering into a data processing agreement.

7. Transfers outside the EU

Data processing for this website and our contact form takes place within the European Economic Area. Hosting and analytics run in Frankfurt; our email platform runs in Ireland.

Some of our processors (including Vercel and Resend) are incorporated in the United States, so incidental access by their support teams may fall under U.S. law. For those situations, transfers are covered by the European Commission's Standard Contractual Clauses and, where applicable, the EU-U.S. Data Privacy Framework. Our customer platform processes data exclusively within the EU. See our security overview.

8. Cookies and similar technologies

This website does not use tracking cookies or advertising cookies. Our web analytics is cookieless and does not place anything on your device that recognizes you across visits or websites. That is why you do not see a cookie banner.

Strictly necessary, short-lived storage (for example, for form validation) may occur but does not store any identifying data. Should this change in the future, we will ask for your consent in advance via a preference module.

9. Security

We take appropriate technical and organizational measures to protect personal data against loss, misuse and unauthorized access: TLS in transit, encryption at rest, role-based access, audit logging and regular penetration testing. A detailed overview is available on our security page.

10. Your rights

Under the GDPR, you have the following rights:

• Access to the data we hold about you.
• Rectification of inaccurate or incomplete data.
• Erasure of your data.
• Restriction of processing.
• Objection to processing based on legitimate interest.
• Data portability for data you provided to us yourself.
• Withdrawal of consent, where processing is based on consent, without retroactive effect.

Send your request to info@agentslab.eu. We will respond within four weeks. We may ask you to verify your identity before we act on your request.

11. Filing a complaint

If you feel we are not handling your data carefully, please contact us first so we can resolve it together. You always have the right to lodge a complaint with the Dutch Data Protection Authority via autoriteitpersoonsgegevens.nl, or with the data protection authority in your EU member state of residence.

12. Changes to this policy

We may update this privacy policy from time to time, for example when our services or applicable law change. The most recent version is always on this page, with the last-updated date at the top.
